    Sentry Time and Attendance

Time and attendance system for security companies

Guards clock in on a handset at the post, by face, NFC card or barcode, against the site’s geofence. Rosters, breaks and leave sit in the same system, and approved hours become pay and an invoice without re-keying.

    TL;DR — Quick Summary

Sentry is a time and attendance system built for South African security companies. Guards clock in on a shared Android handset at the post, the clock-in is checked against the site's boundary and the roster, and the hours flow through to timesheets, pay and client invoices.

What is a time and attendance system?
Software that records when each employee starts and ends work, checks it against their roster, and turns the hours into timesheets for payroll. For a security company it also has to prove the guard was at the right site.
How do guards clock in with Sentry?
On the Sentry handset at the post. The app finds the site in about three seconds, then the guard proves who they are by face, NFC card, ID card barcode or a barcode made from their employee number.
How does it stop buddy clocking?
Identity and location are checked separately. Face recognition proves who is clocking in, and the geofence or an NFC tag at the post proves the handset is on site.
    Does it work without signal?
Yes. A clock-in made offline is saved on the handset and sent when signal returns, with the time it actually happened. A guard who clocks in at 03:10 and syncs at 06:00 is recorded at 03:10.
Can we keep our EasyRoster or Matrix rosters?
Yes. Sentry imports rosters from EasyRoster and Matrix, including grades and the day, night, off and leave codes, and shows you the result before anything is saved.
Does Sentry track guards through the shift?
No. It records the position when a guard clocks in or out and when they record something. The timesheet map shows those points only.

What the time and attendance system covers

From the guard clocking in at the gate to the invoice your client receives at month end.

    Clocking In at the Post

Proving who the guard is and that they are at the site, on a handset that stays there.

    Sentry Guard App for Android

A native Android app on a shared handset at the post, deployed and updated across the fleet through mobile device management. Clock-ins and breaks are saved on the handset when there is no signal and sent when it returns.

    Native Android app
    Shared handset at the post
    Works without signal
    Deployed centrally through MDM

    Clock-In and Clock-Out

Guards prove who they are by face, NFC card, ID card barcode or a barcode made from their employee number. Late arrivals are flagged against the grace period, and a forgotten clock-out does not leave a shift open for ever.

    Four ways to prove identity
    Grace period enforcement
    Auto-stop timesheets
    Confirmation of the recorded time

    Geofencing

Each site has a circular or polygon boundary. A clock-in outside it is refused, and the guard sees the nearest site, the distance, the boundary and how accurate the position is, rather than a bare error.

    Circular and polygon sites
    Radius set per site
    Explains a refusal
Can be switched off per site

    Face Recognition

A guard is enrolled on the handset in a few minutes and then clocks in by looking at the camera. If the face is not recognised, the guard switches to another method and the shift still starts.

    Enrolment on the handset
    Stops buddy clocking
    Fallback methods
    POPIA consent captured

    NFC Tags at the Post

Where GPS cannot be trusted, such as basements and large buildings, an NFC tag fitted at the post proves the guard is there by touch.

    Tag per site
    Works indoors
    No GPS needed
    Reassign tags without app changes

    Rosters and Shifts

Getting the right guard to the right site, including the roster you already keep elsewhere.

    Rosters and Shift Patterns

Shift pattern templates, calendar views and automatic guard allocation, with rosters sent to guards by email and WhatsApp. A guard cannot clock in for a shift they are not rostered on.

    Shift pattern templates
    Auto guard allocation
    Email and WhatsApp distribution
    Clock-in checked against the roster

Roster Import from EasyRoster & Matrix

Import rosters you already keep in EasyRoster or Matrix instead of re-keying them. Sentry reads guard name, grade and the day, night, off and leave codes per site, and shows you the parsed roster before anything is written.

    EasyRoster and Matrix formats
    Grade and shift-code mapping
    Preview before import
    Sites and users by CSV

    Standby Rosters

Keep a pool of guards on standby and allocate one to a site the moment a shift goes unfilled. Day and night standby carry their own start and end times, and a guard returns to the pool when the cover ends.

    Standby pool per company
    Separate day and night times
Allocate to a site on demand
Returns to the pool after cover

    Shift Handovers

The outgoing guard logs the handover with photographs, and it attaches to the site’s record so the incoming shift and the control room read the same account.

    Photographed handover notes
    Attached to the site record
    Read by the incoming shift
    Searchable from the control room

    Breaks, Leave and Cover

What happens between clock-in and clock-out, and who is covering when someone is away.

    Breaks

Guards see only the breaks their site allows and have not taken yet. The due-back time comes from the system rather than the handset’s clock, and a late return is recorded with how late it was.

    Breaks set per site
    System time, not handset time
    Late returns recorded
    Forgotten breaks closed at clock-out

    Leave Management

Eight leave types including annual, sick, maternity, paternity and study leave. Balances with carry-over, an approval workflow, and balance reports emailed on a schedule.

    8 leave types
    Balance carry-over
    Approval workflow
    Scheduled balance reports

    Live Site Cover

See who is on site now across every site, day and night shift. Understaffing shows up as soon as a shift starts without a clock-in, alongside overtime alerts.

    Understaffing detection
    Overtime alerts
    Trends over time

    Timesheets, Pay and Invoices

Turning approved hours into pay and an invoice without a separate spreadsheet.

    Timesheet Map View

A map of where each guard was when they clocked in and out, drawn against the site boundary. Sentry does not track guards through the shift, so the map shows those two points and nothing in between.

    Clock-in and clock-out positions
    Site boundary on the map
    No tracking during the shift
    Opens from the timesheet

    Pay Rates

Hold a pay rate against each guard so timesheet hours turn into cost without a separate spreadsheet.

    Rate held per guard
    Hours costed automatically
    Feeds invoicing
    Validated on entry

    Invoicing & Statements

Invoices generated from approved timesheets, with line items, VAT, your own templates, payment tracking and consolidated statements for clients with several sites.

    Built from timesheets
    VAT calculated
    Payment tracking
    Consolidated statements

    Attendance Reports

An attendance register per site with each guard’s clock-in and clock-out times, hours worked, pay and the position recorded at clock-in. Employee hours breakdowns and timesheet exports can be emailed on a schedule.

    Employee hours breakdowns
    Timesheet exports
    Scheduled email delivery

    Client Portal

A PIN-protected page per client showing attendance rates and geofence compliance for their sites, so the client can check cover without phoning you.
